Setting Up Charts and Dashboards in Dynamics 365

A chart is a graphic representation of data from multiple records of an entity. Charts are integrated with grids in the web application. They are built from the query on the data. When the query is updated for the data, the associated charts also get updated automatically.

You can create several different types of charts within Microsoft Dynamics CRM:

Charts are available for all views on CRM. There are 2 types of charts: system and personal.

  • System Charts. System charts can only be created by users with the security roles of System Administrator or System Customizer. These charts are by default visible to all users. These charts can be customized by going on to the settings area and customizing the system.
  • User Charts. Personal chartscan only be seen by the users that create them or the ones to whom these charts are shared with. These charts can only be shared if the owner has sharing privileges.

There are collapsible chart panes available to the right of most data grids. Multiple charts can be added to an entity, but only one can be displayed alongside the grid.

Accessing Charts

Here’s an example of how to access a chart:

  1. Click on Sales on the site map and click Accounts.
  2. Select one of the views, then on the right of the account data grid, then click on the little left arrow right above the ribbon that says Click here to view the chart.charts and dashboards img2

Customizing Charts

You have the option of either customizing the charts that come pre-configured or create new charts.

The following record types have pre-configured charts:

  • Leads
  • Opportunities
  • Accounts
  • Activities
  • Cases
  • Orders
  • Goals
  • Marketing Campaigns

Customizing a System Chart

  1. On the left navigation, click on Settings.
  2. Click on Customizations, then Customize the System.
  3. Expand Entities and the entity which hosts the chart you want to customize.

  4. Click on Charts, then select the chart you would want to customize, or create a chart by clicking New.

  1. You can select the view that you want to use for this chart.
  2. Specify the fields that you want to be displayed on the category and series axes. The series axis displays data that are only numeric fields while the category axis displays data from numeric as well as non-numeric fields.

Charts can be imported and exported as well as be transferred from one deployment to another.

Charts can only be created and attached to those record types that support the new ribbon interface in the Web application.

Charts can be created via CRM views or through coding.

Customizing a Personal Chart

The steps for customizing a personal chart are very similar to creating a personal chart. However, you don’t have to go into Settings and Customizations. Instead, you can just open a view and click on Charts on the top ribbon.

It’s likely that the first thing that grabs your attention when you log into CRM are Dashboards. They host vast set of information in forms of charts and tasks. Dashboards can be created and customized, and users can also create their own personal dashboards.

Out-of-the-box dashboards for Microsoft Dynamics CRM are as follows:

  • Customer Service Operations
  • Customer Service Performance
  • Customer Service Representative
  • Marketing
  • Sales Activity
  • Sales Performance
